Privacy & AI Use

EasyEval is designed for educators and school leaders. We take privacy seriously and keep your observation notes, uploads, and reports within the EasyEval service. We do not send your classroom data to OpenAI's training pipeline. AI outputs are generated only to help you organize evidence, ratings, and coaching steps—and you remain in control of what is saved or shared.

  • Your notes and artifacts are only used to generate your reports; they are not reused to train external models.
  • You can edit every AI-generated summary, rationale, and next step before finalizing.
  • We aim for neutral, evidence-based language to help remove bias from evaluations.

OpenAI API data handling

EasyEval uses the OpenAI API to process observation notes and generate evaluation reports. We send only what is needed to generate your report and do not permit OpenAI to use your data for model training.

  • No training data: OpenAI does not use API data to train its models.
  • Data retention: OpenAI may retain API data for up to 30 days for abuse monitoring, then deletes it.
  • Limited scope: We send the minimum data necessary (for example, observation notes and rubric structure).
  • Enterprise options: For schools/districts with enterprise agreements, we can configure zero data retention. Contact us for details.

Privacy Policy

This Privacy Policy explains how EasyEval collects, uses, and shares information when you use our website and services (the "Service"). By using EasyEval, you agree to the terms below.

Definitions

  • Service: the EasyEval website, application, and related services.
  • Customer: a school, district, or organization that subscribes to the Service.
  • User: an administrator, educator, or staff member authorized to use the Service.
  • Student data: information about students included in observation notes, uploads, or reports.

Information we collect

  • Account data: name, email, role, and organization details you provide.
  • Evaluation content: observation notes, uploads, rubrics, ratings, and coaching feedback.
  • Student-related information (if provided): references to students that appear in observation notes or artifacts.
  • Usage data: log data such as IP address, device info, pages viewed, and actions taken in the Service.
  • Cookies: essential cookies to keep you signed in and remember preferences.
  • Billing data: payment information is processed by Stripe; we store only limited billing identifiers.

How we use information

  • Provide, maintain, and improve the Service and its features.
  • Generate observation reports, summaries, and coaching recommendations you request.
  • Respond to support requests and communicate important updates.
  • Protect against fraud, abuse, and security incidents.
  • Comply with legal obligations.

How we share information

  • Service providers: we work with vetted vendors that help us run EasyEval (for example, Supabase for hosting/data storage, OpenAI for AI processing, Stripe for payments, and Resend for email).
  • Legal requirements: we may disclose information when required by law or to protect rights and safety.
  • Business transfers: information may transfer as part of a merger, acquisition, or asset sale.
  • With consent: we will share information when you ask us to.

Data retention

We retain information for as long as your account is active or as needed to provide the Service, comply with legal obligations, and resolve disputes. You may request export or deletion of your data at any time.

Student information and education records

EasyEval is used by educators, and your observation notes or uploads may include information about students. We process that information only to provide the Service on your behalf and do not use it for advertising. When possible, limit student details to what is necessary for the evaluation (for example, avoid full names or identifiers if they are not needed).

If you are using EasyEval on behalf of a school or district, you are responsible for ensuring that your use of the Service complies with applicable student privacy laws (including FERPA) and district policies. We can provide a DPA or other compliance documentation upon request.

Security

We use reasonable administrative, technical, and organizational safeguards to protect your information. No method of transmission or storage is 100% secure, but we continuously improve our practices.

Your choices and rights

Depending on your location, you may have rights to access, correct, export, or delete your information, or to object to certain processing. Contact us to exercise these rights.

Children's privacy

EasyEval is intended for school administrators and educators, not children. We do not knowingly collect personal information directly from children under 13. Where we receive student-related information in the context of school use, we process it solely to provide the Service to the school or district. We follow the Children's Online Privacy Protection Act (COPPA) and, upon request, will provide additional details or delete information that was provided outside of authorized school use.

International data transfers

If you access EasyEval outside the United States, your information may be transferred to and processed in the United States or other locations where our service providers operate.

Changes to this policy

We may update this policy from time to time. We will post updates on this page and, if changes are material, notify you.
